April 2018) This may save you time in preparing and filing returns. The form is simplified to include only the information required (w-9) for which there is a record of a W-8C. It contains information that is similar to the Form W-8C except that all business contact information is now included. This allows a quick and easy method to calculate the withholding tax due on a form W-9. Substitute W9 Form for All Federal Employers Please complete the following information only for employers whose primary place of business in the U.S. is in the state of Texas. This information can be used as the basis for calculating what you owe withholding and remittances. If you make business trips outside of Texas please take special note that the withholding information may differ depending on the type of business and your business activity for each individual state. Form W-9 W9 is an Employer Identification Number used by businesses to: • calculate tax liability and withholding son employee pay or, • pay tax due on business income. Form W-9 can be filed online, by mail, or by fax. You will be required by law to file a W9 at the time of employment. The Forms W9 are for reporting income and withholding payments to the IRS or state taxing authority. Filing a Form W 9 will allow you to record the income, pay a tax, and receive payment from the State for Federal Tax purposes. • Taxpayers must use Form W9 for Federal Tax purposes only. Filing a W9 is not the same as filing individual income tax returns based on taxable wages paid. • In addition to providing W2s, Form W9 must include the following information: • name, • taxpayer identification number or TIN, • business telephone number, • mail address, • Internet website (if the taxpayer maintains one) or • other information specified by a Federal, State, or local official.
